  • Technical information relating to your use of this website, where collected through cookies or similar technologies

For Amazon KDP projects, your personal banking and tax information remains under your control. I may guide you through the KDP account, payment and tax-profile setup, but you should enter and confirm sensitive banking and tax information yourself.

Please do not send passwords, full payment-card details, tax identification information or other sensitive information unless it is genuinely required and we have agreed a secure way to handle it.

2. How I Collect Your Information

I may receive your information when you:

  • Contact me through this website

  • Email, telephone or message me

  • Request a quote

  • Purchase or enquire about a service

  • Send files or information for a project

  • Give me authorised access to a website, online shop, Google Business Profile or publishing project

  • Make a payment

  • Communicate with me during or after a project

I may also use publicly available business information where this is necessary to provide a service you have requested, for example information already displayed on your existing website, Amazon book listing or Google Business Profile.

3. How I Use Your Information

I use personal information only where there is a legitimate and lawful reason to do so.

This may include:

  • Responding to enquiries

  • Preparing quotes and discussing potential projects

  • Creating websites and online shops

  • Providing Amazon KDP publishing services

  • Formatting manuscripts and creating book covers

  • Assisting with KDP publication setup

  • Creating or optimising Google Business Profiles

  • Providing SEO and digital services

  • Processing payments and maintaining financial records

  • Communicating with you during a project

  • Providing support after completion

  • Protecting the security of my website, accounts and services

  • Complying with legal, tax and accounting obligations

  • Establishing, exercising or defending legal claims

4. Lawful Basis for Processing

Depending on the circumstances, I may process your information because:

Contract — it is necessary to provide a service you have requested or to take steps before entering into a contract with you.

Legitimate interests — it is reasonably necessary to operate Simple Web Studio, respond to enquiries, manage projects, maintain business records, protect my services and provide customer support, where your rights do not override those interests.

Legal obligation — I am required to keep or use certain information to comply with legal, tax, accounting or regulatory requirements.

Consent — where consent is required, for example for certain non-essential cookies or optional marketing communications.

Where processing is based on consent, you may withdraw your consent at any time.

5. Amazon KDP Projects

If you use my Amazon KDP publishing service, I may receive and work with materials including your manuscript, book title, author information, photographs, cover files, illustrations, book description and other publishing information.

These materials are used only for providing the agreed publishing service.

Your Amazon KDP account should remain in your name and under your control.

Where personal banking, identity or tax information must be entered into Amazon KDP, I will normally guide you through the process rather than collecting or storing that information myself.

Amazon has its own privacy policies and data-processing practices. Information you submit directly to Amazon is subject to Amazon's own terms and privacy policies.

6. Website and Online Shop Projects

For website and online shop projects, you may provide business information, photographs, product information, customer-facing content, logos or other materials.

Where I need access to an existing website, hosting account, domain provider or online platform, I may ask you to provide authorised access or an invitation to manage the relevant service.

Where possible, access should be provided through authorised user or collaborator access rather than by sharing your personal password.

If I process personal information belonging to your own customers solely for the purpose of completing your website or online shop project, you may remain responsible for that information as the relevant business or data controller.

7. Payments

Payment information may be processed by banks, payment providers or e-commerce platforms used to complete your transaction.

I do not need to receive or store your full debit or credit card details where payment is handled by a third-party payment provider.

I may retain information such as your name, payment reference, amount paid, invoice details and transaction records where necessary for business, accounting and legal purposes.

8. Sharing Your Information

I do not sell your personal information.

I may share information only where reasonably necessary with organisations that help me operate my business or deliver your project, such as:

  • Website hosting and domain providers

  • Business email providers

  • Cloud storage or file-sharing providers

  • Payment processors and banks

  • Website and online shop platforms

  • Amazon KDP, where relevant to your publishing project

  • Google services, where relevant to Google Business Profile or other agreed services

  • Professional advisers such as accountants or legal advisers

  • Government, regulatory or law-enforcement authorities where legally required

Service providers are only given access to information where necessary for the relevant purpose.

9. International Data Transfers

Some technology providers used by Simple Web Studio may store or process information outside the United Kingdom.

Where personal information is transferred outside the UK, I will take reasonable steps to ensure that an appropriate lawful transfer mechanism or protection is in place, such as UK adequacy regulations or appropriate contractual safeguards.

10. How Long I Keep Your Information

I keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

As a general guide:

  • General enquiries may normally be retained for up to 12 months after the last meaningful contact.

  • Project correspondence and working files may normally be retained for up to 24 months after project completion, unless a longer period is agreed or required.

  • Amazon KDP manuscripts and book-production files may normally be retained for up to 12 months after completion, allowing time for reasonable post-publication support or updates.

  • Invoices, payment and accounting records may be retained for the period required by applicable tax, accounting and legal requirements.

  • Information connected with a dispute or legal claim may be retained for as long as reasonably necessary to deal with that matter.

Information may be deleted sooner where appropriate or where you make a valid request for deletion.

11. Security

I take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

However, no internet transmission, email system or electronic storage method can be guaranteed to be completely secure.

12. Cookies and Similar Technologies

This website may use cookies and similar technologies.

Some cookies are essential for the website to function correctly.

Other cookies, such as analytics, advertising or other non-essential technologies, will only be used where the required consent has been obtained.

Where available, you can use the website's cookie controls to accept, reject or manage non-essential cookies.

More detailed information can be found in the Cookie Policy.

13. Marketing

Contacting Simple Web Studio or requesting a quote does not automatically mean that you will be added to a marketing mailing list.

If I introduce optional marketing communications, you will be able to unsubscribe or withdraw consent at any time.

14. Your Data Protection Rights

Depending on the circumstances and the lawful basis used, you may have the right to:

  • Ask what personal information I hold about you

  • Request a copy of your personal information

  • Ask for inaccurate information to be corrected

  • Ask for incomplete information to be completed

  • Request deletion of your information in certain circumstances

  • Request restriction of processing in certain circumstances

  • Request transfer of certain information to you or another organisation where the right to data portability applies

  • Withdraw consent where processing is based on consent

Your Right to Object

You may also have the right to object to certain uses of your personal information, particularly where processing is based on legitimate interests.

You have the right to object to the use of your personal information for direct marketing.

To exercise any of these rights, contact:

hello@simplewebstudio.co.uk

I may need to confirm your identity before completing certain requests.

15. Complaints

If you have concerns about how your personal information has been handled, please contact me first at:

hello@simplewebstudio.co.uk

I will try to resolve your concern.

You also have the right to raise a complaint with the Information Commissioner's Office (ICO), the UK's data protection regulator.

16. Third-Party Websites and Services

This website may contain links to third-party websites or services, including Amazon, Google and other platforms.

Simple Web Studio is not responsible for the privacy practices of external websites.

When you visit another website or provide information directly to another platform, its own privacy policy and terms will apply.

17. Automated Decision-Making

Simple Web Studio does not use solely automated decision-making that produces legal or similarly significant effects about website visitors or clients.

18. Changes to This Privacy Policy

This Privacy Policy may be updated when my services, website, technology providers or legal obligations change.

The latest version will always be published on this page with the date of the most recent update.
